Getting started

How do I get started on OpenWay?

Create an account, post a request describing what you need, or browse providers directly. Matched providers can respond as soon as you post.

Is OpenWay free for participants?

Yes. OpenWay is completely free for NDIS participants. Providers pay a small subscription to receive matched leads - you never pay us anything, and your NDIS plan funds go directly to your providers.

Do I need an NDIS plan to create an account?

No - you can create an account and browse providers anytime. You only need an active plan to send enquiries about funded supports. Many people sign up while waiting for their first plan to come through so they have a shortlist ready.

Can a family member or support person use OpenWay for me?

Yes. Family members, carers and nominees can create an account on behalf of a participant. When you sign up choose "I'm helping someone else" and we'll set the account up so messages are sent on the participant's behalf. The participant remains the decision-maker for all enquiries and bookings.

Your NDIS plan

Do I need to be NDIS-funded to use OpenWay?

You can browse OpenWay while waiting for your plan - many people use this time to understand what supports are available and shortlist providers. To use plan-matching features or contact providers for funded supports, you'll need an active NDIS plan, or a nominee/support person managing this with you.

What's the difference between plan management types?

NDIA-managed means the NDIA pays providers directly - for most supports you need to use NDIS registered providers. Plan-managed means a third-party plan manager handles invoicing for you - you can generally use registered or unregistered providers. Self-managed means you pay providers and claim back from the NDIA - again, registered or unregistered. Some supports require registered providers regardless of how your plan is managed, including Specialist Disability Accommodation (SDA), specialist behaviour support, plan management, and any support involving regulated restrictive practices. If you're not sure how your plan is managed, check your most recent NDIS plan or ask your support coordinator.

What if my plan changes - do my shortlists carry over?

Yes. Your saved providers, shortlists, and conversation history stay with your account regardless of plan changes. If your funded categories change, update your account preferences so matching reflects your new plan - your saved list stays untouched.

What does "indicative pricing" mean?

Prices on OpenWay are point-in-time guides, not quotes. Registered providers can charge up to the NDIS Pricing Arrangements and Price Limits (PAPL); unregistered pricing is set by agreement. Final price always depends on the support item, time of day, location, travel, and cancellation rules - confirm it in a written service agreement before support starts.

Working with providers

How does OpenWay check providers?

Providers submit the documents relevant to their work - NDIS registration (if applicable), ABN, public liability and professional indemnity insurance, NDIS Worker Screening Check, and Working With Children Check where they work with under-18s. Our team aims to sight each within 1-2 business days and shows a separate badge for each check. OpenWay Verified means we have sighted these documents - it does not replace NDIS Commission registration and is not an endorsement of service quality.

Can I message providers before committing?

Yes. Send an enquiry from any provider profile and you can message back and forth before deciding. There's no obligation - many participants chat with 2-3 providers before choosing.

What if a provider doesn't respond?

Providers are encouraged to respond promptly - their typical response time is shown on their profile. If a thread goes quiet, the system flags it as unresponsive and you can archive it and contact other matches. We follow up with providers who consistently do not respond.

How many providers should I contact before deciding?

Most participants message 2-3 providers before choosing - it helps you compare response speed, communication style, and availability. There's no obligation. Use the compare feature on saved providers to put their key details side-by-side.

Can I get help from a Support Coordinator through OpenWay?

Yes. Support Coordinators list on OpenWay like any other provider. Filter the directory by "Support Coordination" to find one. If you already work with a coordinator, they can use OpenWay's coordinator workspace to shortlist providers for you and share the list directly.

What's a "shortlist" vs a "saved" provider?

Saved providers are just for you - a personal list of providers you want to remember. Shortlists are typically built by a Support Coordinator on behalf of a participant; they can share a curated 3-provider shortlist with the participant or their family.

Account & billing

How much does OpenWay cost for providers?

Free tier includes a basic listing and 3 enquiries per month. Pro at $99/month includes unlimited enquiries plus analytics. Premium at $249/month adds priority placement and team features.

Can I cancel my provider subscription anytime?

Yes. Cancel from Settings -> Plan & billing. Your listing stays active until the end of your billing period, then drops back to the Free tier.

How does OpenWay charge participants?

It doesn't. OpenWay is completely free for participants, family members, and Support Coordinators. The platform is funded by provider subscriptions ($0/$99/$249 per month). OpenWay never charges participant NDIS plans and never takes a commission on services delivered.

Trust & safety

How does OpenWay check providers before they go live?

We sight the documents relevant to each provider's work - NDIS registration where it applies, ABN, public liability and professional indemnity insurance, NDIS Worker Screening Check, and Working With Children Check where they work with under-18s. A real person reviews each application, usually within 1-2 business days. For registered providers we cross-check the NDIS Commission's public register and banning orders list. Each completed check is shown as a separate badge on the provider profile. OpenWay Verified means we have sighted business compliance documents - it is not the same as NDIS Commission registration, and is not an endorsement or warranty of service quality.

How do I report a suspicious provider?

Tap the Report button on any provider profile or message thread. Our trust team aims to review every report quickly. For serious concerns, you can also contact the NDIS Fraud Reporting Helpline on 1800 650 717 or email [email protected]. Where appropriate, we may escalate reports to the NDIS Quality and Safeguards Commission.

How do I check pricing is fair?

Prices shown on OpenWay are indicative only - they reflect what a provider quoted at a point in time. The current NDIS Pricing Arrangements and Price Limits set the maximum that registered providers can charge for a given support; unregistered providers pricing is set by agreement. Always confirm the final price, cancellation rules and travel costs in a written service agreement before starting support. If you believe a provider has overcharged you, you can report the listing through OpenWay and we will review it - and you can also raise concerns with the NDIS Commission.

How do you protect my privacy?

Your full name and contact details are never shared with providers until you message them directly. By default, providers only see your first name and last initial. You control what's visible in account privacy settings.

What if I have a bad experience with a provider?

Report the issue from any conversation thread or provider profile. Our trust team reviews every report and can suspend providers for serious breaches - urgent safety concerns are prioritised. You can also leave an honest public review.

What happens if a provider is suspended?

Suspended providers are immediately hidden from search and matches. Any active conversations are flagged so you can reach out to alternatives. If you booked services and have a concern, contact our trust team - we can help you understand your options and, where appropriate, escalate to the NDIS Commission.

Troubleshooting

I'm not getting notification emails

Check your account settings - notifications must be enabled per type. If they are on but emails are not arriving, check spam, then add [email protected] to your contacts.

Can I use OpenWay on my phone?

Yes - the site is fully mobile-responsive. Add it to your home screen for a near-app experience. We don't have a native iOS or Android app yet; if that's important to you, let us know via [email protected] and it'll factor into our V2 roadmap.

How do I change the text size or contrast?

Tap the accessibility icon at the bottom-left of any page to open the accessibility widget. It lets you bump up text size, increase colour contrast, reduce motion, and underline all links - settings persist across visits in this browser.

Plain-English NDIS & OpenWay terms

NDIS
National Disability Insurance Scheme. An Australian government scheme that funds supports for eligible people with disability.
NDIA
National Disability Insurance Agency. The independent Commonwealth agency that administers the NDIS and funds participant plans.
NDIS Commission
NDIS Quality and Safeguards Commission. The independent regulator that registers providers, sets practice standards, and handles complaints. OpenWay cross-checks against the Commission register but is not part of the Commission.
Plan
A participant's funded NDIS budget. The plan sets out what supports are funded, in which categories, and over what period.
Participant
A person funded by the NDIS. OpenWay uses "participant" - not "patient" or "client" - throughout.
Provider
An organisation or sole trader that delivers NDIS-funded supports. Providers can be registered with the NDIS Commission or unregistered.
Plan-managed
A plan management type where a registered plan manager pays invoices on the participant's behalf. Plan-managed participants can use registered or unregistered providers.
NDIA-managed
A plan management type where the NDIA pays providers directly. NDIA-managed participants generally need registered providers for most supports.
Self-managed
A plan management type where the participant (or their nominee) manages funds and pays providers directly. Self-managed participants can use registered or unregistered providers.
Registered provider
A provider listed on the NDIS Commission register. Required for most supports for NDIA-managed participants and required regardless of plan type for some supports (for example, Specialist Behaviour Support and Plan Management).
Unregistered provider
A provider not listed on the NDIS Commission register. Can lawfully serve plan-managed and self-managed participants for supports that do not require registration.
Support Coordinator
A professional who helps participants understand and use their NDIS plan, including finding suitable providers. Coordinators shortlist providers - they do not "recommend" them.
OpenWay Verified
An OpenWay-internal label indicating that OpenWay has sighted selected business and compliance documents for a provider. It does not replace NDIS Commission registration and is not an endorsement of service quality.
PAPL
NDIS Pricing Arrangements and Price Limits. The published cap on registered-provider rates, updated periodically by the NDIA. OpenWay displays pricing as indicative - final pricing varies by support item, time, location, travel and cancellation rules and must be confirmed in a written service agreement.
WWCC
Working With Children Check. A state-based check required for paid or unpaid work involving children. OpenWay surfaces a "WWCC Checked" badge when confirmed for staff working with under-18s.
NDIS Worker Screening Check
A standardised national check for people in risk-assessed roles delivering NDIS supports. OpenWay surfaces a "Worker Screening Checked" badge when confirmed for client-facing staff.
Easy Read
A plain-language accessible format that uses short sentences and supporting images. Designed for people with cognitive disability and other readers who benefit from simplified content.
SDA
Specialist Disability Accommodation. Funding for housing designed for participants with extreme functional impairment or very high support needs. SDA is a regulated support and always requires an NDIS-registered provider.
SIL
Supported Independent Living. Funding for help with daily tasks in a shared home, such as personal care, cooking and overnight supervision.
ILO
Individualised Living Options. A flexible NDIS support that helps participants design a living arrangement that suits them - on their own, with chosen housemates, or with a host family.
Service agreement
A written agreement between participant and provider that sets out exactly what supports are being delivered, how much they cost, cancellation rules and travel charges. OpenWay requires that every quoted price is confirmed in a written service agreement before support starts.
